Q4 is when most businesses finalize next year's financial plan, and office space is often one of the largest fixed costs after payroll. Yet many budgets are built on a single figure: the unit rent on a quotation. The result is actual costs running 20–30% over plan once service charges, VAT, parking, overtime air-conditioning and fit-out are added.

Why Budget for Your Office Lease in Q4?

Rents are high and stable. According to CBRE, in Q2/2026 the average rent for Grade A offices in HCMC was around USD 47.2/sqm/month and Grade B around USD 27.1/sqm/month, both slightly up year on year. A budget based on last year's prices is likely to fall short.
New supply is limited. No new projects opened in the first half of 2026, so good spaces tend to be secured early.
Leases expiring in 2027 need preparation now. Searching, negotiating and fitting out typically take 6–12 months.
Step 1: Determine How Much Space You Need
Area drives most of the budget, so start from real needs rather than from a quotation:
Current headcount and growth plans over the full lease term (usually 2–3 years), not just the first year.
Working model: With hybrid work, not every employee needs a dedicated desk.
Functional areas: Meeting rooms, director's office, reception, pantry, storage, server room.
Rule of thumb: Many businesses use around 8–10 sqm per employee for an open-plan office. The actual figure varies with your working model and number of private rooms.

Step 2: Calculate Fixed Monthly Costs
These are the costs you pay every month throughout the lease:
Rent: Unit rent × leased area.
Service charge (management fee): Usually charged per sqm, covering building operations, security, cleaning of common areas and air-conditioning during office hours. Some buildings quote it bundled with rent, others separately.
VAT: Usually 10%, applied to rent and service charge. Confirm whether the quotation includes VAT.
Step 3: Calculate Variable Costs
These are easy to overlook but add up quickly:
Electricity within your premises: Usually metered separately.
Overtime air-conditioning: Important for teams working evenings, weekends or in shifts.
Car and motorbike parking: Ask how many spaces come with the lease and the rate for extra ones.
Internet, phone, in-office cleaning, drinking water, stationery.
Step 4: Don't Forget One-Off Costs
This group most often pushes first-year budgets over the limit:
Security deposit: Typically around 3 months' rent and service charge. It is refunded at the end of the lease but has a big impact on cash flow.

Relocation: Moving, reinstalling equipment, reprinting materials with the new address, updating the business registration address.
Reinstatement of your old office: If your current lease requires returning the space to its original condition.
Overlapping rent: While the new office is being fitted out, you may still be paying rent on the old one.
Step 5: Account for Escalation and Exchange-Rate Risk
A good budget looks at the full lease term, not just 2027:
Annual rent increases: Check the escalation clause. If the lease doesn't specify one, set aside a reasonable increase for each year.
Service charge increases: Service charges can also rise, usually without a cap unless you negotiate one.
USD/VND exchange rate: Many buildings quote in USD but invoice in VND. Currency movements can raise your actual cost even when the unit rent is unchanged.
Contingency: Keep around 5–10% of the total budget for unexpected costs.
Real Example: Leasing 200 sqm at Saigon Marina IFC for 25 Employees

To make this concrete, let’s apply the steps above to Saigon Marina IFC, a 55-storey Grade A office tower at 2 Ton Duc Thang Street, Sai Gon Ward. It is one of the most sought-after buildings today, designed to LEED Gold standard and connected directly to Ba Son underground station on Metro Line 1. Reference asking rent is USD 50/sqm/month, with a management fee of USD 8/sqm/month.
Additional assumptions: 200 sqm leased, VAT 10%, 5% annual increase, 3-year term.

In other words, rent and management fee alone are about 10% higher in year three than in year one. That’s before variable costs (electricity, parking, overtime A/C) and the one-off costs in Steps 3 and 4.
